As our Receptionist, you will represent our firm to the many clients we connect with every day, and through superior organizational skills, ensure even our busiest days flow smoothly.

If you have:
  • At least two years of experience in a receptionist role
  • Experience managing a high volume of incoming calls and clients
  • Professionalism and poise in keeping with our status as a luxury brand
  • Exceptional communication and interpersonal skills

More About Your Role

Each morning, you will be the first to arrive and you'll prepare our offices for our clients by unlocking doors, turning on lights, elevators, and air-conditioning, and making coffee. You'll ensure that the office continues to run smoothly by ordering and maintaining all supplies, distributing all faxes, and ordering signs for client properties. You'll also distribute the Multiple Listing Service (MLS) prints and review all voicemails before forwarding messages to our brokers, agents and employees.

As the "voice" of Hilton & Hyland for many of our clients, we'll look to you to greet each one with attention and courtesy, whether on the phone or in person. As you manage upwards of 45-50 calls per hour, you'll aim to recognize clients by name before referring their calls to our agents and brokers. Bringing a personal touch to such a high volume of calls is a challenge, but one you will embrace with pride in this role. You'll also track our advertising efforts and develop and maintain client logs, call lists, and phone records.

Additionally, you will cross-train so that you can provide ongoing backup support for the Controller, Bookkeeper, Owner, Managing Director, and Marketing Department. These projects will include a variety of clerical tasks, such as entering listings information into the MLS database.

In addition to well-mannered social graces and professional poise, success in this role will require:
  • Scrupulous attention to detail and accuracy -- understanding that our success can be greatly affected by just one lost call or erroneous entry in the MLS system, you'll take substantial care in "dotting each 'i' and crossing every 't'."
  • Team player mentality -- you'll aim to become the company's greatest asset by competently supporting our goals and responding to organizational demands that may fall outside your usual accountabilities.
  • Impeccable integrity -- you'll employ strict confidentiality as you become privy to highly sensitive information on a daily basis.
